NearFaith Care — Privacy & Data Retention Notice

This notice covers NearFaith Care specifically and supplements the main NearFaith Privacy Policy. Care handles more sensitive information than the rest of the site — a person's financial need — so its rules are stricter: minimum collection, private by design, and deletion on a schedule.

1. What we collect

  • Account: email address (verified by one-time code), name, phone number, city and state, sign-in timestamps.
  • Application: need category, requested amount, your private written explanation, the church you named, vendor name and contact where given, due date where given.
  • Verification records: whether and how your email, phone, and church connection were confirmed, and by whom at the church.
  • Program integrity: request status history in an append-only audit log, and any fraud-screening flags.
  • Not collected: financial statements, tax returns, bank credentials, Social Security numbers, or government ID. If the program later accepts supporting documents (an invoice or bill), that change will be reflected here first.

2. What is never public

Your name, explanation, church-verification outcome, and church membership or attendance status are never published, listed, or indexable — not on a wall, feed, impact page, or anywhere else. Any public impact reporting uses only anonymized aggregates: need category, city/state, a rounded dollar amount, and status.

3. Who sees your information

  • NearFaith administrators and Review Board members reviewing the request.
  • The church you named — only what is described in the Applicant Consent & Verification Authorization.
  • The administering entity (participating church or qualified charitable partner) deciding payment of an award — only what that requires.
  • The vendor you named — only payment-related details, if an award is approved.
  • Service providers that run our infrastructure (hosting, database, email delivery), bound by their own security terms and processing data only on our behalf.

We do not sell Care information, use it for advertising, or share it with anyone else except where the law requires.

4. How long we keep it

  • Applications and explanations: retained while a request is open and for twelve months after it closes, then deleted on schedule.
  • Accounts: retained while active; deleted on your request, subject to the same twelve-month window for any recent requests.
  • Audit log: the append-only record of status changes and decisions is retained for seven years for program-integrity and legal purposes; it references requests by internal ID.
  • Supporting documents (if ever collected): deleted on a defined schedule after the request closes, stored privately and never publicly accessible in the meantime.

5. Your choices

  • Withdraw a pending application at any time (reply to any Care email).
  • Request a copy of the information we hold about your Care account.
  • Request account deletion, completed after any applicable retention window.
  • Correct inaccurate account details by replying to any Care email.

Requests go to the contact address on nearfaith.com/contact or by reply to any Care email. We verify that requests come from the account’s verified email before acting on them.

These program documents may be updated from time to time; material changes are posted here with a revised version line. The version in effect when you submit an application governs that application.
